Q: What do you do?
A: That’s a great question! Our business is ever-evolving to meet the needs of business owners and individuals, looking to assist them with their day-to-day operations and helping them grow their businesses. We work with everyone from “mom-preneurs” to corporations.
Q: How does this work?
A: Contact us for a video conference to discuss your needs. From there, we’ll tailor a plan just for you. Once the contract has been signed and a deposit paid, if applicable, work can begin.
Q: What are your office hours?
A: My typical office hours are 10 am – 7 pm Monday – Friday. However, I am always available through email.
Q: The service I am in need of doesn’t appear on your Services page.
A: Communicate your needs with us. We’ll do everything possible to assist you.
Q: What happens if I’m swamped and don’t have time to train you?
A: We love to start small and grow with your business! The beauty of hiring a virtual assistant is that we’re highly skilled and ready to jump in.
Q: What if I am in need of a full-time assistant?
A: We are independent contractors who work for multiple clients. If you need a full-time assistant, we wish you good luck finding one.
Q: Do you have a minimum contract?
A: Yes. Our retainer packages start at 5 hours a month. Many clients choose to start at the minimum, but usually, end up doubling or tripling that with time.
Q: How do you keep track of my hours?
A: We use a commercial time tracking software to track hours spent on various client projects.
Q: How safe is my information?
A: The safety of client information is of utmost importance to us. Our website uses the highest level of SSL protection.
Q: Do my hours roll over to the next month if I don’t completely use them?
A: It depends on the terms of your individual contract.
• Hourly or project contracts are not bound by a certain number of hours.
• Retainer contract, your hours expire at the end of each calendar month.
• Hour package, your hours do not expire.
Q: How do you bill?
A: This also depends on your contract. Hourly clients are billed on the 1st of the month for the work done during the previous month. Project contracts have 55% due to begin work with the remainder due at the completion of the project. Retainer clients are billed on the 1st of the month for the block of hours they’ve committed to. Clients who have purchased a package of hours will be notified prior to their hours running out and will have the options of purchasing another package at that point.
Q: What is your refund policy?
A: We work to serve our clients to the absolute best of our ability and in a timely manner. No refunds will ever be issued for any reason.
Q: What if I would like to add services to my contract?
A: Contact us. We would be glad to add services to your contract.
Q: I’m horrible at keeping track of things. That’s why I’ve reached out to you! How will I know how much of my retainer I’ve used?
A: All clients will receive a project update email on Mondays. For clients with retainer contracts, the amount of retainer used and available will be included in their update email.
Q: What if I want to cancel my services?
A: Services may be canceled at any point with a 30 day written notice.
Q: My work is often confidential and proprietary, are you willing to sign an NDA?
A: A non-discloser agreement is included in our contract, but we are willing to sign an NDA provided by a client.
Q: What is the best way to contact you?
A: The best way to contact us is always by email, but you can also set up a phone call or video conference with us, as needed.
Q: What if I have an emergency and need help right now?
A: Any emergency request will need to be made by telephone. If an emergency occurs outside of normal business hours, the current hourly rate will be charged for the completion of the request.
Q: What if I don’t have any work for you this week?
A: No need to worry! If you are on a retainer, you have the entire calendar month to use your hours.
Q: What if you go on vacation, have a family emergency, or get sick?
A: These are 3 entirely different situations.
Vacations are scheduled before the beginning of the year and are listed on our policies page. Some work for retainer clients will be performed, even on vacations. Clients will be reminded of our upcoming holidays and vacations during their weekly update emails.
During most family emergency situations, work will still continue on. One of the biggest benefits of being a virtual assistant is that we have the tools and availability to work wherever we are.
Sickness is a part of life. From time to time, we all get sick. There will be occasional instances where we may have to take a day or two off for illness. During these times, we try our best to take care of any immediate work.
Q: Will I be working with more than one assistant?
A: Several members of our household have very specialized skills. Certain projects may be completed by others, but Angelica Johnson will be the one responsible for checking, proofing, and approving all projects before they are delivered to customers.
Q: Do I need to have meetings with you?
A: Most meetings will occur through video conferencing. If an in-person/on location meeting is deemed necessary by a client, the current hourly rate will be charged for travel time, plus travel expenses.
Q: What type of client do you enjoy working with?
A: We love all kinds of clients, but especially those who are very self-aware, who know exactly what they can do best and are more than happy to delegate the rest. As in any relationship, communication is key. Clear concise deadlines and well-defined expectations are always appreciated.
Q: Do you work from an editorial calendar?
A: If you have an existing editorial calendar in place, we absolutely can work from that. If you don’t already have one in place, no need to worry. We can help you to implement one.
Q: Do you have experience with email marketing?
A: Absolutely! We have experience with multiple platforms of email marketing, from MailChimp to ConvertKit.
Q: I send out periodic newsletters with my blog post and a few other third-party articles, but it’s so time-consuming. Is that something you can handle for me?
A: Sure thing! We can implement a plan to meet the needs of your current business and set you up to grow.
Q: What content management platforms do you have experience in?
A: WordPress is our favorite, but we have experience with Wix, Squarespace, etc.
Q: Can you help me manage my Facebook page and group?
A: Yes. Our team keeps current on all changes to the Facebook algorithm and changes to social media, in general.
Q: Do you provide social media, email marketing, and blog strategies?
A: We work best to implement a strategy that you already have in place, or we can absolutely assist you in setting one up. Tell us what you need most!
